Creating a call for participants

Warning
Note: Since the Platform is not yet connected to the SALTO Website (meaning: there is no external user interface with the Platfom) the calls can be prepared and applications can be collected on the Platform, allowing the participant management (pre-selection, selection, etc) to be managed on the Platform. But, the call cannot be made public on the Platform. The application form created on the Platform needs to be shared in the SALTO European Training Calendar to make it public.
For this, to avoid any missed steps and problems with your calls, please contact Eda Bakir at eda@salto-youth.net BEFORE you launch a call on the Platform.
  1. Login to your account at tcanetplatform.com
  2. Go to your relevant activity (from the left-hand side menu: Activities >>> My Activities)

    Important note: You need an activity before you can create a call for participants. See the 'Setting up an activity' article for technical guidance on this.
  3. From the list of activities, click on your activity for which you need to create your call.
  4. In your activity view, scroll down to the Calls section and click on ‘Add call’:
  5. A menu will open with various components of a call. You should first choose the type of call as ‘Participant’.
    Note: Participant type is the only call type that allows pre-selection. Other calls are only to be considered for direct selection – without pre-selection (such as call for trainers, experts, rapporteurs etc).
  6. Fill in the obligatory information for the call. You will probably not need all the fields. Please use only the ones that are relevant to you.
  7. Once you have all the obligatory information you will be able to save your call.

Creating an application form for your call

  1. Once you have your call ready, you can create the application form. For this, on the left-hand menu, go to Back Office then Forms:
  2. And once you are in the Forms view, click on Templates on the top navigation:
  3. Here you will see a list of templates (of forms) to be used for various purposes. For now, you are interested in the ‘Application Form Starter’ (the first one in the list). Click on ‘Select’ next to it:

    Warning
    It is very important that you choose the correct template, as described above. Otherwise your participants’ assignments for pre-selection will not be correctly done.
  4. Give a name to your form, such as ‘Application form for BiTriMulti Brussels 2024’ and save.
  5. This is the application form you will build. (You can find it back when needed through Back Office > Forms and find your application form from the list).
  6. You can edit your form by clicking on ‘Build’.
  7. In the ‘Build’ view, you need to click on ‘Add element’ to add content (questions) to your form:

    WarningNOTE: The four fields you see above are obligatory and need to be in all forms as they are in the template. Do not delete or edit these four questions. You can add additional questions where needed.
    This is important as this is the only way Platform will collect the data from the participants to match them with the correct NAs/SALTOs for preselection.
  8. Click on ‘Show preview’ on the pop-up window so that you can see how the content will look like in the form while you are building it:
  9. You will need a bit of trial and error to see how the form elements work. For any questions you can send an email to support@tcanetplatfom.com We will get back to you as quickly as possible. 
  10. To add sections to your form use the option ‘Section’. Once you do that, you will be able to group the additional elements of the form within the section.

Connecting your form to your call

  1. Once your form is ready, you can connect it to your call. Go back to your call (from Activities >>> My Activities and then scrolling to the calls). Click on Edit tab of your call. In the Basic information section, you will find the ‘Application Form’ field. Here find the name of your application form. And save your call.
    Note: Please pay attention that your form’s setting is ‘Open’. Otherwise, you will not be able to collect applications under the call.
  2. Once you have connected your application form to your call, you need to change the status of your call. Similarly to the activities, the status of a call can be changed by clicking on the pencil icon on the top-right corner of the call page. Change the status to ‘Waiting for review’. This will send a notification to SALTO admins to check if your call and application form is working (to make sure applications can be collected and they are correctly linked to the call). SALTO admin will check this and change the status of the call to 'Published'.
  3. Now when you view your call, you will see the link “Go to webform”. Here, click on ‘Go to webform’:
  4. This will open your application form. Copy the url link:

    This is the url form link you will include to your European Training Calendar call.
    WarningVery important: Please copy the url as described above: From your own activity and your own call and then click on ‘Go to webform’. Do not copy the url of the forms through the back office. Those links are generic (not specific to your call).

Launching your call on the SALTO website - European Training Calendar

  1. Once you have done all this, you are done at the moment with the Platform. Now you will need the SALTO European Training Calendar: At the moment, the Platform is not open for non-NA users. This means that the calls you publish on Platform will need to be made available on the old SALTO European Training Calendar as well. For this, please prepare a call as you normally would on the SALTO Training Calendar too. Do not create an application form there. You will use the ‘Add a link to an online application form at a different website than salto-youth.net’ option there and include the Platform url link you saved as the application form link.
  2. This way you will send out the call to European Training Calendar registrants. But the applications will be collected on the CooP and this is where the pre-selection/selection will be done.

    Important: Contact Eda Bakir at eda@salto-youth.net BEFORE you submit your call on the European Training Calendar, so that she can check your application form works correctly.
