Call for participants

We suggest that:

The host NA/coordinator opens the call for participants minimum 3 months prior to the event (to allow for visa application of selected participants, where relevant). The call for participants should be open for at least 1 month. 

A call for participants includes the following information: 

  • A title that explains what the activity is about (rather than a fancy but unclear name). 

  • A description of the activity 

  • Clear profile of participants/target group, 

  • Age (+18 or minor) 

  • Necessary logistical info (place, date, arrival and departure, accommodation if applicable e.g. single rooms, double rooms) 

  • Deadline for pre-selection 

  • Deadline for informing the participants (ideally 3 months, minimum 8 weeks prior to the activity) 

  • Expected learning outcomes (such as 'If you participate in this course, you will learn how to xy') 

  • Involvement of neighboring partner regions (or if the call is restricted to only some countries) 

  • Accessibility of the venue (description and limitation if applicable) 

  • Group size/size of event

  • Working language

  • Participation terms (such as information about coverage of relevant costs and who to contact about these, in line with the agreements with the partners).


The call is checked against principles of plain language, addresses the reader directly and is kept as
short as possible.
This means no tribe language, no abbreviations, no information that is only relevant
for NAs/SALTOs. Additional information can be provided as an attachment (e.g. reference on SNACs). 

Alert
The NAs should have minimum 10 days between call application deadline and participant pre-selection deadline, so that all NAs/SALTOs can finalise their preselection.
